This privacy policy is issued by AMW Media Ltd (trading as AMW Media), a company registered in England and Wales with its registered office at 4 Newmans Row, Lincoln Road, Cressex Business Park, High Wycombe, HP12 3RE. AMW Media Ltd is the data controller for personal data collected through amwmedia.co.uk and in the course of providing marketing services to clients.

We collect the following categories of personal data:

• Contact and enquiry data you provide through forms on this site, by email or by phone: name, business name, email address, telephone number, website address and the content of your message.
• Client account data where you engage our services: contract details, billing information, access credentials you grant us to advertising, social media, analytics and CRM accounts, and the data those platforms return to us in the course of the work.
• Technical data collected automatically when you visit the site: IP address, browser type, device type, pages viewed, referring page and approximate location, collected through cookies and similar technologies described in section 6.
• Recruitment data where you apply for a role: name, contact details, links to your work, CV and interview notes.

We do not knowingly collect data from anyone under 16 and we do not collect special category data unless you volunteer it and it is relevant to the service.

We process personal data on the following bases under UK GDPR:

• Performance of a contract or steps prior to entering one: responding to enquiries, preparing audits and proposals, delivering and invoicing services.
• Legitimate interests: operating and improving the website, keeping records of our work, following up on enquiries you made, protecting against fraud and misuse. We balance these interests against your rights and do not use them where your interests override ours.
• Consent: non essential cookies, marketing emails where you have opted in, and publishing your name, business or testimonial. You may withdraw consent at any time.
• Legal obligation: retaining accounting records and responding to lawful requests.

We do not sell personal data and we do not use it for automated decision making that produces legal or similarly significant effects.

We share personal data only with processors acting on our instructions under written terms, and only as needed to deliver the service. These include:

• Our CRM and form processing platform (LeadConnector), which receives enquiries submitted on this site.
• Our reporting platform, MyContentLab, which we operate, and which connects to client advertising, social, analytics and CRM accounts.
• Advertising and analytics platforms we manage on your behalf as a client (Google, Meta and others) under their own terms.
• Website hosting, email, accounting and cloud storage providers.

Some providers process data outside the UK. Where they do, we rely on the UK International Data Transfer Agreement, UK adequacy regulations or equivalent safeguards. We may disclose data where required by law or to protect our legal rights.

• Enquiries that do not become clients: 24 months from last contact.
• Client account data: for the duration of the engagement and 6 years afterwards, to meet accounting and limitation period obligations.
• Recruitment data for unsuccessful applicants: 6 months from the decision, unless you ask us to keep it for future roles.
• Technical and analytics data: per the retention settings of the relevant tool, typically 14 to 26 months.

When data is no longer required it is deleted or anonymised.

This site uses strictly necessary cookies to function and, with your consent, analytics and marketing cookies, currently Google Analytics 4 and Google Ads conversion measurement, loaded through the Google tag in consent mode, and the Meta Pixel, loaded only after you accept marketing cookies, so that nothing is set before you decide. When you send an enquiry with marketing cookies accepted, a hashed version of your email address may be sent to Meta to match the enquiry to an advert. Consent is requested on your first visit and can be changed at any time through the cookie settings link in the footer. Under UK GDPR you have the right to access the personal data we hold about you, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent. To exercise any right, email info@amwmedia.co.uk. We respond within one month.

You also have the right to lodge a complaint with the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to address your concern first.

We apply technical and organisational measures appropriate to the risk, including encrypted connections, access controls limiting client account access to the team members working on that account, multi factor authentication on platforms that support it, and prompt revocation of access when an engagement ends. No internet transmission is completely secure and we cannot guarantee absolute security, but we will notify you and the ICO where required if a breach affects your data.

We review this policy at least annually and whenever our processing changes materially. The version and review date at the top of this page identify the current policy.
